SA Shooter Privacy and POPIA Policy

This South African POPIA notice supplements our general Privacy Policy and explains how we handle information for our shop and related services in South Africa.

SA Shooter (Pty) Ltd, trading as SA Shooter (“SA Shooter”, “we”, “us”), is responsible for the personal information described in this policy. It applies to our website at sashooter.co.za, online and in-store purchases, enquiries, firearm-related services and events. We process personal information in accordance with South Africa’s Protection of Personal Information Act 4 of 2013 (“POPIA”) and other applicable laws.

2. What information we collect

Contact and account details: name, email address, telephone number, billing and delivery address, account information and communication preferences.
Purchases and payments: products ordered, invoices, order history, payment status, transaction references, delivery and return information. Payment providers process payment card details; we receive the information needed to confirm and administer the transaction.
Regulated sales and services: where relevant to a firearm, ammunition or other regulated transaction, identity and age details, licence or permit information, competency and proficiency records, firearm details and records needed to verify eligibility, comply with legal duties or prepare a firearm motivation on your instructions. A motivation file may also contain proof of address, safe photographs, employment information, spouse or partner details, references and supporting documents that you supply. We ask for these only when relevant to the transaction or service.
Communications and premises: enquiries, messages, customer-service notes, event or club registration details and, where cameras operate at our premises, CCTV images and incident records for safety and security.
Website use: IP address, browser and device details, cookie identifiers, pages viewed and interactions with the store, collected through Shopify and any enabled analytics or advertising tools.

3. Where the information comes from

We collect information from you when you order, contact us, visit the shop, register for an event or provide documents for a service. We may receive information from a person you authorise to act for you, from a referee or other person whose details are supplied for a motivation, and from our payment, delivery and technology providers. Website and device information is collected automatically when you use the site. Where information comes from another source, we use it only for the relevant purpose and as permitted by law.

4. Why we use it

To answer enquiries, create and administer accounts, take payment, fulfil orders, arrange delivery or collection, manage returns and provide customer support.
To check legal eligibility and keep or provide records required for regulated products under the Firearms Control Act 60 of 2000 and related requirements; to prepare a firearm motivation or related service you request.
To run events or customer programmes you choose to join, protect staff and visitors, prevent fraud and secure our premises and systems.
To improve the website and understand store performance using appropriate analytics.
To send service messages about an order or request and, where POPIA permits, marketing about our products, services or events.
To meet tax, accounting, consumer-protection and other legal obligations and handle disputes or lawful requests from authorities.

Depending on the purpose, we rely on your consent, steps needed to perform a contract with you, a legal obligation, or a lawful interest recognised by POPIA. We do not treat visiting the site as consent to every use of your information.

5. What you must provide

Contact, delivery and payment information is needed to complete an order. Proof of identity, licences, permits, competency or other records may be mandatory for a regulated sale or service; without them we may be unable to process or hand over the item or complete the requested work. Providing information for marketing is optional. If you provide another person's information for a motivation or other service, please ensure you have authority to share it and tell that person how we will use it.

6. Who may receive it

We share only information reasonably needed for a purpose described above, with relevant staff and service providers such as Shopify, payment gateways, IT and cloud providers, couriers, accounting and professional advisers, and event or service partners involved in a service you request. For regulated transactions, information may be provided to the South African Police Service, Central Firearms Registry, a designated firearms officer or another authority where required or authorised by law. We may also disclose information to comply with a lawful request or protect our rights and safety.

We do not use identity documents, firearm licence records or motivation packs to build advertising audiences. Third-party services may have their own privacy notices when they act independently.

7. Shopify and transfers outside South Africa

Our online store is hosted by Shopify. Shopify processes information when you visit or purchase from the site to operate, secure and improve its services. Where Shopify enhanced services are enabled, Shopify may also process information about your interactions with our store, other Shopify merchants and Shopify to provide those services. Read the Shopify Consumer Privacy Policy and use the Shopify Privacy Portal for requests about processing for which Shopify is responsible.

Shopify and other providers may store or process information outside South Africa. We transfer information internationally only where a ground permitted by section 72 of POPIA applies, such as appropriate legal or contractual protection, your consent, or a transfer needed to perform a contract with you. Contact us if you would like more information about a particular transfer.

8. Cookies and direct marketing

The website uses cookies and similar technologies for functions such as the cart, checkout and security. Depending on the tools enabled, analytics or advertising services may also collect device and browsing information. You can manage cookies through your browser and, where displayed, the store's cookie choices. Blocking essential cookies may affect the checkout.

We send electronic marketing only with the consent required by POPIA or, for existing customers, where the law permits marketing our own similar products or services and an opportunity to object has been provided. You can unsubscribe using the link or instructions in a message, or email support@sashooter.co.za. We will stop marketing to you when you opt out, though we may still send necessary order and service messages.

9. Security and retention

We use reasonable technical and organisational measures to protect information against loss, unauthorised access and misuse, and restrict access to people who need it for their work. No internet service can guarantee absolute security. If a security compromise occurs, we will notify the Information Regulator and affected people where POPIA requires it.

We keep information only for as long as needed for the stated purpose, or for a period required or permitted by law. Firearm and transaction records may need to be kept for legal, accounting or dispute purposes after a sale ends. When records are no longer required, we delete, destroy or de-identify them as appropriate.

10. Your rights

Subject to applicable law and identity verification, you may ask whether we hold information about you; request access to it; request correction, deletion or destruction of information that is inaccurate, excessive, unlawfully obtained or no longer authorised to be kept; object to certain processing; and withdraw consent where processing depends on consent. To make a request, email support@sashooter.co.za with “POPIA request” in the subject. We may need to retain information where another law requires it. Confirmation that we hold information is free; a prescribed fee may apply to providing records, and we will advise you of any fee first.

If you are unhappy with our response, you may lodge a POPIA complaint with the Information Regulator of South Africa through its eServices portal. The Regulator can be contacted at enquiries@inforegulator.org.za or 010 023 5200.

11. Children and changes to this policy

Our online store is intended for adults. We do not knowingly seek children's information for online purchases. Where a service requires information about a child, we process it only with the appropriate authority and lawful basis.

We may update this policy when our practices or the law change. The current version and its last-updated date will be posted here.
